Meeting Minutes from May 9, 2014 at 7:15 PM

Report of Officers
- As discussed in the last meeting, Andre has been hired as the referee for Divisionals. His position is the only paid position. The rest are volunteers from the swim clubs. A parent has volunteered to design the t-shirt for Divisionals. This is the same parent who is taking care of the team t-shirts.
- We agreed to have the parent volunteer sell coffee, donuts and water during our two regular-season meets. There will be no other food available. Janet will follow up with Leah’s mom about handling the food for Divisionals.
- Janet did send an April newsletter to past, future and interested swimmers.
- Jim requested the funding from Hampden Township. But, it has not been received yet.
- Mike will look into the funding for the CV pool.
- Registration via credit cards is functioning via the website. As of the meeting tonight, we have 38 swimmers.
- Some families are balking about having to pay a Hampden Pool membership along with the registration fee. Our registration fees are comparable to other summer swim leagues. However, we agreed to work with Hampden Township to see if a ‘swim team only’ membership could be offered for next summer.
- A team meeting/party, including parents is scheduled for June 10 at 8:30 at the Hampden Pool.
- Next meeting will be June 19 at 7:00 PM in Wegmans.
Unfinished Business
- Janet will check with Township Police to see about help with Sporting Hill Road traffic the day of Divisionals. Janet will work with Mike on the logistics of team entries.
- We agreed to place updating the record board on hold until June. At that time, we will see if a parent would like to help by updating the record board. We do have the old records documented.
- The by-laws need to be updated. They will need to be approved at a parent meeting during the summer. We agreed that this is on hold until then.
- As previously discussed, we will fix one touchpad and order one new. Joe will work with Jim on the payment for this. Joe and Janet will meet at the pool on 5/10 to determine which touchpad to send back. The goal is to have these two touchpads from the vendor by July 10.
- Janet will follow up with Leah’s mom about handling the refreshments during Divisionals.
- We agreed to determine next steps for laptops and Windows XP in August. We may look to replace these.
- Janet will talk with Jeremy to see if a ‘code of conduct’ is available for the Hampden Pool guards. If so, we will use the same for our guards.
- Jim will ensure that we get our funding from Hampden Township.
- Janet will query Hampden Township to determine if a ‘swim team only’ membership for Hampden Pool could be offered next summer.
- Janet will work with Mike to determine if we still need to pay for email addresses.
New Business
- Janet will send a welcome email to the 2014 swimmers.
- Jim will take care of sending our roster to CASL. This must be postmarked by June 6. He will also send to Jeremy to confirm pool memberships.
- Due to the way Mike set up our new website, we may not have to pay for our email addresses. Janet will work with Mike on this.
