Meeting Minutes from February 16, 2015 at 7:15 PM

Report of Officers

  • Deb will put together forms (for review at the next meeting) to use for the lap-a-thon, which is scheduled for June 30. Deb will also research prizes for reaching monetary thresholds. Janet will forward information from Artistic Imprints to Deb for research.
  • Deb will see if we can get a sample set from Swim Outlet. We discussed that we would get 8% of all sales from this site. As a post-meeting update, we are not eligible for this fundraiser since we are not a non-profit organization.
  • Lauren will create an ad for HAC to be used on the CV School District website.
  • We are not able to sell the Giant gift cards. We would need to be a non-profit organization.
  • The sub sale will be June 30. Orders will be due by June 20.
  • The team socials will be June 11, July 7 and July 21 (pool and pavilion). Janet will save these dates with the township.
  • We will look into selling Philly pretzels at our home meets.
  • Team pictures will be the week of June 22. The exact date is TBD.
  • We agreed to increase our insurance from $1 million to $2 million for an extra $40/year.
  • We agreed to offer head lifeguard position to Alison Dundore at $10.25/hour. She will have additional duties (most of which were performed by her last year). The head lifeguard will need to: Recruit lifeguards, Schedule two guards at each non-Y practice and all home meets, Ensure W-9 forms are completed by all lifeguards and provide to the Treasurer, Submit bi-weekly spreadsheet to Treasurer showing who worked when and for how many hours, Collect lifeguard certifications and send to Treasurer.
  • HAC will ensure background checks are performed on all guards. We should be able to use the background check results from Hampden Pool. We had previously decided that all HAC guards should be employees of Hampden Pool. Other lifeguards will be paid $9.25/hour.
  • We agreed that only registered members of HAC will be able to use the Hampden Pool during HAC practices.
  • The next meeting will be March 16 at 7:15 PM in Wegmans.

Unfinished Business

  • Janet to review the by-laws and distribute potential changes to the rest of the Board.
  • We do want to look into filing HAC as a non-profit organization (501C3). This would mean that donations to our group would be tax deductible.
  • Janet will follow up with Amy on the new duck logo. We did agree to use the current version until an updated version was available.
  • Concession stand will be a topic of discussion at the next meeting.
